Currently, we are sharing one webinar permission amongst all\u00a0leadrship who want to host webinars (up to 1000 attendees and up to 300 panelists).<\/p>\n<h2>Do I need to use Zoom Meeting or Zoom Webinar?<\/h2>\n<ul>\n<li>If you have a need to simply share information, we recommend using a pre-recorded video that can be viewed by people at a time that is convenient for them. These can even be released at a certain time and run like live streaming. You can learn more on the <a href=\"http:\/\/blogs.nist.ac.th\/technology\/knowledge-base\/video-recording-or-streaming\/\">Recording or Live Streaming Guide<\/a>.<\/li>\n<li>Please use a Zoom meeting rather than a webinar unless:\n<ul>\n<li>you have\u00a0more than 300\u00a0attendees (since Meetings can be run for up to 300 people), or<\/li>\n<li>if the attendees must be anonymous from each other (not see each other&#8217;s video\u00a0and\u00a0not\u00a0be heard).<\/li>\n<\/ul>\n<\/li>\n<li>Here is a Zoom page explaining the <a href=\"https:\/\/support.zoom.us\/hc\/en-us\/articles\/115005474943-Meeting-and-Webinar-Comparison\">differences between meeting and webinar<\/a>.<\/li>\n<\/ul>\n<h2>Process for Hosting a Webinar<\/h2>\n<ul>\n<li>Decide on a date to practice the webinar, if needed.\u00a0Inform\u00a0Mini of the date so\u00a0she can keep track of all webinars (and ensure no overlaps).<\/li>\n<li>Decide on a date when you want to host your webinar. Inform\u00a0Mini of the dateso\u00a0she can\u00a0keep track of all webinars (and ensure no overlaps).<\/li>\n<li>As usual, inform Mini at\u00a0least two weeks in advance so\u00a0the announcement can be made via\u00a0the Community Learning Hub newsletter (sent each Monday). Then, Mini\u00a0will announce via CLH Newsletter via VC Composer.<\/li>\n<li>Mini\u00a0will get parents to register in Veracross and answer questions as they register (recommend to get them to submit questions in advance).<\/li>\n<li>Mini will send any\u00a0submitted questions by registrants\/attendees to you two days before the meeting.<\/li>\n<li>Make a slideshow using NIST template to introduced the panelists.<\/li>\n<li>Mini will\u00a0share the attendee webinar link to only registered people or all parents at a consistent time in advance of the webinar.<\/li>\n<\/ul>\n<h2>Settings and Protocols for NIST Webinars<\/h2>\n<ul>\n<li>Mini will open the webinar 15 mins early for a practice during which time panelists can join and get set. Mini will start the broadcast at the webinar start time (which admits the attendees). Use this practice.<\/li>\n<li>Meeting attendees video is always off, mics always off (unless host\/co-host allows a person to speak).<\/li>\n<li>One presenter\/panelist should have a slideshow shared (but this is optional) and mic on. <em>(Note: The\u00a0host who is sharing their slides for attendees is able to view their notes on the same screen without them appearing to attendees.)<\/em><\/li>\n<li>Other presenters\/panelists\u00a0can have video\u00a0ON and\u00a0mic off except when speaking.\u00a0<em>(Note: Only the person speaking appears to the attendees. The other co-hosts\/panelists do not show up if they are not speaking.)<\/em><\/li>\n<li>Q&amp;A is handled by presenters\/panelists. Questions are not visible until panelists answer them. Questions can also be dismissed or responded to privately.<\/li>\n<li>Attendees can also be asked to raise hand as an informal way to get audience feedback\/participation.<\/li>\n<li>Polling is a great way to increase audience participation and feedback. Please contact Mini in advance if you would like to include so that it can be created in advance.<\/li>\n<li><strong>Pro Tip:<\/strong>\u00a0You can have another\u00a0device\u00a0logged in as an attendee\u00a0to see what\u00a0attendees\u00a0are seeing.<\/li>\n<\/ul>\n<h2>Description of Roles and Recommendations<\/h2>\n<ul>\n<li>The <strong>Host<\/strong> controls the whole meeting\/webinar. They can:\n<ul>\n<li>do everything that a panelist can do plus&#8230;<\/li>\n<li>open the webinar on time<\/li>\n<li>set chat settings. (recommend attendees can chat with No one). Zoom info on\u00a0<a class=\"article-list-link\" href=\"https:\/\/support.zoom.us\/hc\/en-us\/articles\/205761999-Webinar-Chat\">Webinar Chat<\/a>.<\/li>\n<li>promote an attendee to be a panelist (can be with video)<\/li>\n<li>allow an attendee to speak (no video)<\/li>\n<li>run a poll and share results. (Zoom info on\u00a0<a class=\"article-list-link\" href=\"https:\/\/support.zoom.us\/hc\/en-us\/articles\/203749865-Polling-for-Webinars\">Polling for Webinars<\/a>)<\/li>\n<li><a class=\"article-list-link\" href=\"https:\/\/support.zoom.us\/hc\/en-us\/articles\/115004834466-Managing-Participants-in-Webinar\">Managing Participants in Webinar<\/a>\u00a0(Zoom page)<\/li>\n<\/ul>\n<\/li>\n<li><strong>Panelists<\/strong> are the speakers\/presenters. They can:\n<ul>\n<li>join the webinar using a separate link.<\/li>\n<li>turn on\/off their\u00a0video\/mic<\/li>\n<li>share screen (e.g. slide show, etc.). We recommend that the host or a panelist share a slideshow.<\/li>\n<li>see attendee names<\/li>\n<li>run the Q&amp;A by answering questions.
