Adding Veracross Schedule to Google Calendar Using Calendarsync

This article and video show you how to sync your Veracross schedule of classes and duties to your Google calendar. On a related note, there is also a way to get A-J rotation days from Veracross into your Google Calendar.

Google Calendar is a great tool for sharing our schedules and finding common times to meet. This allows us to work more effectively and avoid using multiple emails or other tools (e.g. Doodle, TimeBridge, etc.) to arrange meetings. For us to use this feature, all staff members will need to do this.

All your duties and classes in Veracross are available as a calendar feed in Veracross. If you want to see these events in Google Calendar and on your device(s), you can!

  • You can edit the notes field in the items after they synch.
  • If your schedule changes, it will re-sync from Veracross within a day (starting next week).

You also have the ability to decide whether you want the events from the synched calendar to give you notifications or not. (some teachers prefer their computer or smartphone to remind the for each class while others do not want the reminders)

How It Works

  • subscribe to your All Classes Schedule feed from VC as a Google Calendar
  • Don’t show that calendar in your google calendar
  • Set that calendar to sync to your main google calendar using the app above (so that others can see free/busy times)

Some Key Points

  • Each class from your schedule is an individual event in your google calendar (not linked in any way to other events from the same class).
  • You can decide at any time whether a synched calendar gives you reminders or not.
  • Schedule changes in VC will be reflected in your main calendar within 24 hours.
  • The events will all end up in your main calendar as the colour set in the calendarsync app (i.e. if your main calendar is blue, and you choose purple in calendarsync, events from VC will be purple, and any other events you create will be purple).
  • You can edit the notes field or name on any event, and they will not be removed/overwritten by next sync.
  • If you move an event, it will retain its new date/time (but we can’t recommend that).
  • If you delete an event, it will not be recreated by the next sync.
  • If you change the colour of a synched event, it will retain the new colour.
