Leaving/Departing Student Guide

This article explains the technology pieces.

Your Data (Files, Drive, etc.)

  • Back-up your personal data from your device by moving it to a hard drive or cloud storage. (Note: You can use Apple’s Time Machine for this, but only useful if you plan to move to another Mac.)
  • We recommend that you either Download your files using right-click > Download or use Takeout guide directly from Google.
Your Files Will Not Be Deleted

Google files will not be deleted when someone leaves NIST, so you do not need to worry about transferring ownership of your shared files AS LONG AS they are located in shared folders or shared with other people or groups. If so, they will automatically remain shared with present group members and will update as group members are updated (e.g. FairNIST coffee group).

  • Transfer ownership of critical files (no need to do for all files). For files that are not in shared folders, please change the owner to the new person who will be responsible for editing the file. So, if you must change ownership, here is how:
    • Go to sharing panel, then click on advanced, and you can change an existing editor to be the Owner.
    • The new owner will be notified but does not need to do anything.

Device Return

  • You will not normally have the option to purchase your device(s) from NIST unless NIST happens to be retiring/selling your specific computer in that school year. Please plan accordingly if you need to purchase another device. Here is a guide that can assist you to purchase an Apple device at an educational price.
  • Be sure to remove all personal stickers from your computer and leave the NIST stickers.
  • Parents should inspect for damage to avoid any surprises on the day of return.
  • Be sure to remove any personal covers and leave any NIST cover on the device.
  • Be sure to sign out of personal AppleID and App Store on the device.
  • Charge the device fully before returning to aid the inspection process.
  • Normally, Secondary students return the device to the IT Office in the Secondary Library while Elementary students simply leave the iPad in the classroom iPad locker on their last day of school. If the campus is closed for any reason or you can not return at the specified time, please contact helpdesk@nist.ac.th to make arrangements to return the device to the IT personnel at the front of the school.
  • IT will assess the device for damage and sign the student check-out form (no charge for minor cosmetic damage).
  • You can designate another person to return the device.

GMail

  • Email account and Google Drive are active for graduates until October 31 of the year they leave NIST. Email account and Google Drive are active for leaving students are until June 30 of the year they leave NIST except for students leaving during the year. These accounts are deactivated on the night of their last day at NIST.
  • Here is a video specifically about exporting your GMail.
  • In order to take copies of your NIST emails, here are some options.
    • If you don’t need emails after October, do nothing.
    • If only a few, you can Forward. Go through each saved email and forward it to your own personal account. This is a good option if you only have a few vital emails you want to save. The process is tedious. Your new account does not need to be a Gmail account.
    • If you want them all, use Google Takeout. (Video Tutorial) You can use Google Takeout to download and backup your NIST Google Emails in an MBox file format. This file can then be loaded into Thunderbird Email client of Apple Mail app for future viewing. 

Seesaw

  • Seesaw Data for elementary students
    • What happens if I leave at the end of the school year? Here is a guide from Seesaw company which explains how to download a copy of a child’s Seesaw prior school year posts.
    • What happens with mid-year leaving students? NIST removes a student from classes when the student leaves mid-year. Families should download the archive using the instructions found here before their last day at NIST. Students using email addresses in their accounts are also able to download their own .zip archive using the same steps from their student accounts. Once the student is set to inactive by NIST, the family will be sent an email explaining how to save the .zip archive. This email is automatic, and you can ignore it.

Other Data

  • Login to Veracross and get your report cards downloaded as PDFs. You will lose access to Veracross after your last day at school (except Alumni October 31).
  • Turnitin – You do not need to do anything.
  • Managebac – You will lose access during summer as we prepare for the next year.
  • YouTube videos
    • It is fine to just leave your YouTube videos in your account. They will not be deleted, and any links to them will remain if they are set as Public or Unlisted.
  • You can download an entire copy of your blog.
